  • Secure environment variables for API keys and credentials

6. Third-Party Services

To deliver our services, we share certain information with the following third-party providers. Each operates under its own privacy policy:

  • Anthropic (Claude API) — processes form inputs to generate AI audit reports and website prompts
  • OpenAI / Google (Gemini) — alternative AI providers that may process form inputs for the Website Prompt Generator
  • HubSpot — stores contact details for customer relationship management
  • Google Analytics (GA4) — collects anonymised website usage data
  • Siteground (SMTP) — sends transactional emails such as audit reports
  • WordPress — hosts blog content displayed on our site

We do not sell or rent your personal information to any third party.

7. Cookies and Analytics

Our website uses Google Analytics 4 (GA4) to collect anonymised usage data such as pages visited, session duration, and referral source. GA4 uses cookies to distinguish unique users. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

We do not use cookies for advertising or tracking across third-party websites.

8. Overseas Disclosure

Some of the third-party services we use (such as Anthropic, OpenAI, Google, and HubSpot) are based overseas, primarily in the United States. By using our services, you consent to the transfer of your personal information to these overseas recipients. Data Deletion Policy

1. Your Right to Request Deletion

You have the right to request the deletion of personal information we hold about you. This includes data submitted through our forms, generated reports, and any records stored in our systems.

2. How to Request Deletion

To request deletion of your personal data, please email us at hello@youbetterask.ai with the subject line "Data Deletion Request". Include the following details so we can locate your records:

  • Your full name
  • The email address you used when interacting with our services
  • A description of which data or service submissions you would like deleted

3. What We Will Delete

Upon a verified deletion request, we will delete the following where applicable:

  • Form submissions (AI audit, strategy call enquiry, website prompt generator)
  • Generated AI audit reports and PDF files
  • Contact records stored in our database
  • Contact records synced to HubSpot CRM

Please note that anonymised or aggregated data that cannot be used to identify you may be retained for analytical purposes.

4. Timeframe

We will process your deletion request and remove your personal data within 30 days of receiving a verified request. You will receive an email confirmation once the deletion is complete.

5. Exceptions

We may retain certain information where required to:

  • Comply with a legal obligation (e.g., tax or financial reporting requirements)
  • Establish, exercise, or defend legal claims
  • Detect and prevent fraud or security incidents

If an exception applies, we will inform you of the specific reason and retain only the minimum data necessary.
